1. Decide what the renovation needs to achieve

Start with how the property will be used: your own home, a rental, or a property being prepared for sale. List what must work better, what needs repair and what is mainly a finish preference. Survey the existing layout and accessible services before committing to a kitchen position, bathroom move or wall removal. Retaining a sound layout can create a very different project from changing the systems behind it.

2. Separate a refresh from a technical or structural project

A refresh may retain the layout and service positions while replacing finishes and selected fittings. A deeper refurbishment may need drainage, electrical, cooling or waterproofing work as well as new finishes. Extensions, changes of use and structural work need their own design and approval assessment. In the DDA route, adding structural elements, changing use or adding gross floor area is directed to building modification rather than the ordinary fit-out application. Verify the route for the actual address.

3. Build a complete renovation budget

Ask for separate allowances for survey and design, authority and community requirements, protection and demolition, civil and MEP work, finishes and joinery, testing and completion. Include delivery, waste removal, temporary accommodation if needed and the applicable VAT. Keep refundable deposits distinct from project expenditure. An advertised starting price or price per square foot cannot identify how much of your existing property is being retained. Compare the same measured areas and specifications, and identify provisional sums that can still change.

4. Sequence design, approvals and procurement

Agree who prepares the drawings, submits applications, answers comments and arranges inspections. Confirm the community access rules and the competent authority before setting a site start. DDA publishes separate fit-out and building-modification services; its stated processing time is not a promise for your entire approval programme. Drawing preparation, revisions, other permissions and material lead times sit outside a single application stage. Order bespoke items against approved dimensions and agreed design decisions.

5. Compare the construction programme, not just an end date

A useful programme shows enabling work, removals, first-fix services, required inspections or tests before covering work, finishes, equipment commissioning and snagging. Identify the decisions the owner must make and the dates by which they are needed. Working in an occupied villa, restricted access and custom joinery can change the sequence. Ask which activities depend on approvals or deliveries and how a discovered defect would be assessed and priced before it changes the programme.

6. Control changes and close the project properly

Record each change with its reason, scope, cost and effect on completion before authorising it. Link payment milestones to defined work and evidence under the agreed contract. At handover, collect the applicable completion records, drawings, product information, test results and warranties, with an open-item list and responsibility for follow-up. A visually finished room is not proof that the services or approval close-out are complete.
